We understand the diversity in schedules and personal commitments, and know it's natural for employees to have days when they are normally unavailable for work. To streamline scheduling and prevent conflicts, we encourage you to record employee's normal non working days. You will still be able to assign shifts on these days as we understand that things can change from week to week, but this feature will provide a reminder that the employee normally does not work on those days. You can of course update or remove the non-working days at any time as things change.

Set and Edit Non Working Days

You can set non working days by clicking on "Edit Employee" from the rota or in the Employees Tab.

Scroll down to Non Working Days and select the days, and then click "Update" to save.

To remove a non working day, simply click on the day you want to de-select.

View Non Working Days

When you view the rota those days will be marked, as seen below. The days will be visible in all rotas that the employee is a part of, and can be seen by the Rota Managers.

They will automatically display in the future weeks until you make updates.

The system will not prevent you from placing a shift, but will display the marking at the bottom of the shift card.

Non Working Days on Mobile

When creating or assigning a shift on mobile you'll notice an orange boarder around employee's name, this is an indicator that the employee is normally not available to work on that day. This indicator will also be visible on the shift card if the shift is created.

Benefits of This Feature

  • Efficient Planning and Increased Productivity

  • Avoiding Conflicts

Minimising the chances of scheduling employees when they're not normally available and having to make unexpected changes.

  • Improved Communication

Marking recurring unavailability fosters better communication within a team and management.

  • Enhanced Work-Life Balance and Reduced Stress

Employees may use recurring unavailability to communicate and maintain a healthier work-life balance. This can contribute to increased job satisfaction and employee well-being.

  • Predictable Schedules

This predictability can be valuable for better planning and time management, whilst making long term planning much easier.
