Creating Overtime

Overtime can be created from assigned and unassigned shifts.

Creating Overtime on Mobile

There are two ways to mark shift for overtime on a mobile:

Unassigned Shift

To offer unassigned shifts as overtime, simply tap on the hand icon on the shift.

Then confirm. You also have an option to select a reason for this overtime. To learn more about the reasons, click here.

Assigned Shift

To offer shifts that have already been assigned, you need to first set the shift to "Unassigned".

Tap on the shift to open the edit form.

Scroll to the bottom and select --UNASSIGNED-- in the Assign Employee input field.

Then simply follow the steps from above.

Creating Overtime on Desktop

There are two ways to mark shifts for overtime on a desktop.

Assigned Shifts

To offer shifts that are already assigned to an employee, simply hover over the selected shift, click on the menu button, select "Mark for Overtime" and confirm.

Unassigned Shifts

To mark unassigned shift, you need to click on Open Shifts, tick the OT box and confirm.

Based on the roles and times of the shifts, only employees who have been assigned with the role and are available at the time will receive an email notification and will be able to view and grab overtime shifts.

When an employee grabs a shift, you’ll receive and email notification, and the rota will be updated automatically.

Bulk overtime

You can also create a series of overtime shifts if an employee will be off for an extended period. Click here to find out more.

Administration of Overtime

To make management of overtime easier, we created a dedicated Admin section in the Shift Trades tab where you’ll be able to see all the overtime requests you’ve sent out and all overtime shifts that have been grabbed.

If you change your mind you can revoke the overtime shift before it’s been grabbed, by clicking on the three dots by the shift and selecting Delete Overtime.

This shift will be visible on the rota as an unassigned/open shift.

Export Report

Additionally you’ll be able to export this data with two export options : After a date and Between Two Dates.
